Session workflow — step by step

From install to a saved SOAP note in the client file. Each step is designed so the paperwork runs itself.

  1. Install & sign in
    Add the Counselor extension from the Chrome Web Store, then sign in to Talentopian in the same browser. Auth-sync picks up your session automatically — no separate extension login.
  2. Open your meeting
    Start a Google Meet or Zoom call — the coaching sidebar injects itself. Pick the client from your roster, or run an anonymous session when you're not linking to a file.
  3. Read the live coaching cues
    As the conversation flows, your client's PCS strengths, interests, and Socratic follow-up questions surface in the sidebar — glanceable, never in the way.
  4. ★ Highlight the moments that matter
    Tap ★ to bookmark roughly the last 30 seconds of transcript, with an optional note on why it matters. Highlights resurface in the session wrap-up so nothing is lost.
  5. Risk-aware alerts (advisory)
    If the conversation surfaces a possible clinical-risk signal, a discreet advisory appears with a suggested next step. It is advisory only — never blocking, never a diagnosis, never recorded as judgment.
  6. Auto-generate the SOAP note
    At session end, tap "Session Note". A Subjective / Objective / Assessment / Plan draft plus an action-item list generates in your response language. Review and edit — you always have the final word.
  7. Save & link to the student file
    Save the note and it attaches to the student's file — flowing into your My Students roster and the wrap-up view on your Counselor Hub, ready for next time.

Working with student records? Turn on FERPA-safe mode to keep identifiable details out of AI processing. It's a one-tap toggle in the sidebar; turning it off shows a confirmation so it's never disabled by accident.
